Terms and Conditions for Individuals

1. Introduction

These Terms and Conditions (hereinafter referred to as “Terms”) govern the conditions of service agreements between Cool Accounts ApS (hereinafter referred to as the “Provider”) and its clients (hereinafter referred to as the “Client”). The Provider offers accounting and other financial services in Denmark, in accordance with applicable Danish legislation.

2. Scope of Services

Cool Accounts ApS provides the following accounting and financial services for individuals:

2.1. Tax-related Services

  • Preliminary Tax Assessment Setup: Setting up the Client’s personal tax assessment in compliance with Danish laws and tax regulations.

  • Annual Tax Return Preparation: Preparing and submitting the Client’s individual tax return to the Danish Tax Authority in accordance with Danish tax laws.

  • Fast Track (Expedited Processing): For an additional fee, the tax return and/or preliminary tax assessment setup will be completed within 3 business days.

  • General Tax Consultation: Providing information on tax obligations, deductions, benefits, and compliance with applicable laws to ensure the Client’s tax affairs are handled optimally and legally.

2.2. Employment-related Services in Denmark

  • Employment Contract Translation and Interpretation: Translating the Client’s foreign-language (Danish or English) employment contract into Hungarian and assisting with interpretation.

  • Holiday Pay Withdrawal Assistance: Assistance in claiming holiday pay (feriepenge).

  • Payslip Interpretation: Assistance in understanding the Client’s payslip.

  • Employee Resignation Letter Preparation: Preparing resignation letters in Danish or English in compliance with relevant labor regulations and the Client’s needs.

2.3. Other Services

  • NemKonto Registration and Administration: Registering the Client’s bank account as a NemKonto by completing the necessary forms.

  • Deregistration from Denmark: Assistance with deregistration from the state systems.

  • Pension Administration: Assistance in withdrawing pension savings accumulated in Denmark.

  • Child Benefits Application: Assistance in submitting the application.

  • Unemployment-related Administration: Assistance in registering with the Jobcenter, CV preparation, and handling matters with the A-kasse.

  • Relocation Consultation for Moving to Denmark

  • Other Administrative and Documentation Services: Provided based on individual agreements.

3. Contract Formation

The contract becomes effective when the Client verbally or in writing uses the services provided by the Provider. The contract may be established in the following ways:

  • Contact Form: By completing and submitting the contact form available on the Provider’s website.

  • Email Inquiry: By contacting the Provider via email.

  • Telephone Inquiry: By requesting services via phone conversation.

  • In-person Meeting: By personally meeting with the Service Provider and verbally requesting its services.

The Provider informs the Client in advance about the fees and makes the GTC available on its official website at accounts.cool/en/terms.

By using the service, the Client automatically accepts these Terms, which take effect immediately.

3.1 KYC Procedure and Identity Verification

The Provider is obligated to carry out a KYC (“Know Your Customer”) procedure for every new Client in compliance with applicable Danish laws, particularly the regulations on the prevention of money laundering and combating the financing of terrorism. As part of the KYC process, the Client is required to verify their identity by providing the following documents:

  • A copy of a valid identification document (passport, identity card, or driver’s license);
  • Proof of address (Danish health insurance card or Hungarian address card);

The Client acknowledges that the Service Provider will not commence the provision of services until the KYC procedure is completed, and failure to complete this process will prevent the service agreement from being established.

4. Service Fees

The prices for services provided to individuals include 25% VAT.

4.4. Payment Terms

The Service Provider issues an invoice after the order, which the Client must pay in advance in full. Services commence only after full payment of the invoice.

The Service Provider reserves the right to review and modify service fees annually.

5. Responsibilities

The Service Provider provides services with due diligence and expertise, but its liability is limited to the services listed in Section 2, based on the data and documents provided by the Client.

The Client’s obligations are governed by Danish law, and the Client is fully responsible for the accuracy and timely submission of tax returns. The Service Provider is not liable for damages resulting from delayed or incorrect data provision.

6. Data Protection

The Provider is obligated to handle the Client’s data confidentially and only use it in accordance with applicable Danish data protection laws. The Client consents to the processing of their personal data for the purpose of fulfilling the contract.

7. Termination of Contract

The Client may terminate the contract before service commencement, in which case the prepaid service fee is fully refunded. After service commencement, withdrawal is not possible.

For consultation services, cancellations are free up to one hour before the appointment. Beyond this point, no refund will be issued.

8. Governing Law and Jurisdiction

Any matters not regulated by these Terms shall be governed by Danish law. Any disputes between the parties shall be subject to the exclusive jurisdiction of Danish courts.

9. Amendments

The Service Provider reserves the right to modify the Terms and Conditions. Changes take effect 30 days after publication and do not affect ongoing orders.
